July 2016 Pilgrim Council Meeting Minutes

The Pilgrim Church Council meeting was called to order with prayer at 5:30 p.m.on July 28, 2016 by Moderator Tere Hancock.

Attendance –  The following Council members were present: Pam Crowe, John Crowe, Larry Solberg, Glenn Hoxie, Tere Hancock, Rick Bonetti, Lu Trullinger, Paula Kahler, Dick Kahler, Tyler Shuster and Andrea Gibbens. Not present: Donna Nelson, Jessica French, John Egolf, Heather Hennessey, Nancy Patterson, Bob Cross, Barbara Cross and Rev. Ann Corrin. Also attending was Elizabeth Shuster.

Minutes – There was an acceptance of the June 30, 2016 Council meeting minutes as posted on the Pilgrim website.

Personnel Committee – Larry Solberg, Paula Kahler, Sue Asbill, Bill Justice and Lu Trullinger are on the Personnel Committee. Brad Henderson has resigned from the Committee and we need a replacement. Larry recommended adding Elizabeth Shuster to the Personnel Committee. Elizabeth is taking over the payroll portion of the Treasurer job and will turn in hours for nursery attendant to the bank; their hours get turned in on the 10th of the month, following the month they work. Elizabeth and Ann get paid on the 10th and 25th of each month during which they are working; Elizabeth can have her time card signed by the Treasurer or Ann Corrin. A motion was made, seconded and unanimously approved.

Replacement for Treasurer Position – Lu Trullinger has talked to someone who is interested in the Treasurer position and will have another meeting with them next week. This will require Council Approval as the position is an officer. Lu is leaving August 24 and the next Council meeting is August 18th so this can be handled then.

Treasurers Report – Lu distributed the financials via email. July will not look as good because there is a big payment for Ann’s annuity.

Building Update –  Reva Taylor has offered to make a contribution to have improvements made to Fellowship Hall to better allow people at tables to hear one another. Larry Solberg has responded to Reva’s email and Building CoCos will look into possible solutions and costs and send her a letter in response.

There is a concern about water from the tap being too hot. Bob Shaw will be contacted by Building CoCos regarding the water heater thermostat.

The AED was ordered and should arrive soon.

A fan in men’s bathroom was overheating and a replacement has been ordered.

We are having a recurring problem with the water spigots outside being turned on by vandals.

John Egolf has been working on a chimney issue, which has also had some vandalism.

Appreciation was expressed by the Council for the painting and all that John Egolf does.

John Crowe is getting a second estimate for solar and will get a third.

Intra-Church Communications – It was discussed that Council members should direct emails to the point person who is charge of a specific worship concern (i.e. Liturgist; Usher, etc.) rather than to everyone on the Council email list, so it is not confusing when changes are made; Elizabeth in turn will keep up to date by contacting the point person. “Reply All’s” should be used sparingly. We have changed internet providers and wifi will be restored soon in Fireside Room.

CBO Listening Program – Elizabeth Betancourt and Andrea Gibbens shared the template for the listening program. The whole Council agreed to take on interviews. Elizabeth will continue to coordinate and put a blurb in Newsletter.

Learning CoCos – Sunday School will resume September 4th. Kelly resigned in June and we are using only Nahoko through Fall. We will still have the nursery open, but are not staffing the position now, as we only occasionally have infants. The Choir may need Nahoko one hour earlier when they start up this Fall.  Children’s messages are all taken care of during Ann’s absence. Faith Forum continues to meet Mondays at 2 p.m., viewing and discussing Living the Questions DVD series Saving Jesus Redux.

Connecting CoCos – Jessica has sold half of SEACM play tickets. Rachel Hatch has been promoting for French Country Market, which will occur on October 1, 2016, to radio and Enjoy magazine.

Worship CoCos – There will be 5 concerts in August and the chair team will not be here. Council recommended to Personnel Committee to talk with Steel about paying him do this (2 hour minimum) as he is not using all of his allowed hours.  During August, Tara Swanson and Laura Ostman will back up Donna as Pam Crowe will be traveling, except for Aug 14th when Tere will be the point person.

RN Presentation – Karen Lightfoot is organizing one student Registered Nurse to make two Sunday presentation in Fireside Room after worship service. The first on will be on the zika virus. The Council approved the concept for Karen to proceed.

Correspondence – Elizabeth Shuster received correspondence from Roger Asbaugh and Tere Hancock wrote Roger a nice email saying we will not be addressing his concern nor responding until sometime after Ann has returned this fall.

Adjournment – the meeting was adjourned at 8 p.m. The next Council Meeting is Thursday, August 18, 2016 at 5:30 in Fireside Room.
