January 31, 2016 Annual Meeting Minutes

Call to Order – the Annual Meeting was called to order by Vice Moderator Nancy Patterson at 11:30 a.m.

Opening Prayer – Rev. Ann Corrin gave an opening prayer.

Establishment of a Quorum – There being more than 10% of the membership present, a quorum was established by the Clerk.

Clerk’s Report on Membership – Clerk Rick Bonetti reviewed the Supplemental Update to the Membership Roll, which shows that Pilgrim has currently has 178 adult members. 16 new members were added; 1 was reinstated; 3 were removed by request; 7 removed by death; and 46 were removed by congregational action. Bernie Patchen, Pat Tucker and Heather Hennessey worked hard in 2015 to try to update a Membership* and Friends list. Rick explained that per the Bylaws members who have not attended worship nor contributed to the church in the past two years can be removed by congregational action. Bob Cross provided contribution information and Elizabeth Shuster reviewed the pew pad sheets for the last two years to come up with a list of those to being considered for removal. Letters then went out from the Clerk in January 2016 to those being consider for removal and they were kept on that list if there was no response. Elizabeth Shuster was thanked for her hard work in creating an up-to-date data base. Records were updated going back to 2012, which accounts for the high number of removals in this year’s report.

A motion was made, seconded and unanimously approved to accept the new Membership* list with the additions and removals.

Rick stressed that Pilgrim’s general approach is very open, inclusive and fluid to all who might consider Pilgrim their spiritual home and we designate those who have not yet chosen to step forward and make a more formal covenantal commitment of Membership* as “Friends.” The Membership* list is relevant primarily if there is important congregational action that need to be taken. The password-protected, Online Directory will be be kept up to date by Elizabeth Shuster and a printed copy will periodically updated and in limited quantities. Both will include both Members* and Friends.

Memorial Prayer for Deceased Members – Rev. Ann Corrin led a prayer for members who died this past year: Dorothy Berry, Caroline Bosecker, Ceil Harvey, Barbara Lapp, Cliff Peterson, Fred Schmidt and Del Williamson.

Annual Reports:

Learning CoCoordinators – Andrea Gibbens highlighted the written report that was prepared by Paula Kahler and noted that Kaarin Brooke joined Pilgrim staff as a full time children’s school teacher. Nancy Dutton is working both with adult and children’s choirs. Andrea said that there are lots of learning and activist opportunities to collaborate with other churches i.e. Naoimi Klein movie at FUMC. Ann’s Faith Forum on Monday afternoons offers seminary-level book discussions on theology topics.

Worship CoCoordinators – Lent will be observed this year starting on Ash Wednesday with a 5:30 p.m. soup gathering. Pam Crowe reminded the congregation that there will be an Easter Sunrise Service again this year. Pam then asked all who have actively contributed to worship as ushers, liturgist, musicians, speakers, program preparers, chair movers, decorators, etc. and most of the room stood up and were thanked.

Serving CoCoordinators – Barbara Cross thanked Diane Hepburn and recognized Betty Gronwoldt and Linda Lack for their behind the scene faithfulness and Sally Dale for birthday/anniversary/get well cards. Peggy Mallory does a prayer chain – let Peggy know if you want to be notified or you need help. Diane will still be involved in Called to Care, which meets in the Fireside Room after worship and will continue to coordinate meals for people in need.

Finance/Admin CoCoordinators – Bill Justice was thanked for this years of service as a Finance/Admin CoCo; John Egolf is taking over, particularly in overseeing maintenance for our Frank Lloyd Wright building. Glenn Hoxie also thanked Bill his calm, stable leadership. In 2016 Finance/Admin will consider bathroom refurbishing, lighting additions, electronic/audio visual and solar panel improvements. We have a recycling program (both paper in blue bins and CRV items, which can be donated in a leak proof container.

Connecting CoCoordinators – Jessica French reviewed Pilgrim’s mission activities in our community (Faith Works; Hope Outreach Adopt-a-block.) Elizabeth Shuster does Pilgrim Instagram and Pilgrim Facebook posts. Tyler Shuster was thanked for his website revision with links to services. Linda Lack was thanked for coordinating food for the Good News Rescue Mission. Peggy Labella spoke about our Faith Works family. SEACM is having a Riverside Playhouse buy-out on March 30, 2016. Glenn Hoxie reminded us that there is a April 16, 2016 fundraiser for Partners helping Families at FUMC.

A motion was made, seconded and unanimously approved to accept the Co-Coordinator Reports as written.

2016 Budget Approval:

The Budget Finance Committee, made up of the Treasurer, Financial Secretary and the two Finance/Admin CoCos, prepared the 2016 Budget – lots of time and effort that goes into the budget preparation and everyone was thanked. Lu Trullinger answered questions regarding the budget and clarified that part of the $8,000 that was distributed January 31, 2016 to various mission agencies (Planned Parenthood; Faith Works; SCHC Hope Van; Partners Helping Families, inc; People of Progress; SEACM; NVCSS teenage Pregnancy and Parenting Program; and Redding Homeless Day Resource Center at $2,000) included interest from Endowment Fund, which we receive at the end of third quarter. Also not in the Budget is an additional $3,500, which in 2015 went directly to various special UCC funds collected throughout the year and to the Conference. Custodial is a new budget item for Steele, who will work 6-8 hours a week and will replace Peerless. Steele will be here to be available during the day so that things that need to be done can be pointed out.

A motion was made, seconded and unanimously approved to accept the 2016 Annual Budget as submitted.

Election of Officers and Co-Coordinators

A motion was made, seconded and unanimously approved to accept the slate of Officers, Co-Coordinators, Personnel Committee and Pastor/Parish Relation Committee listed in the 2015 Annual Report.

Closing Prayer – Rev. Ann Corrin led a closing prayer.

Adjournment – New Moderator Tere Hancock called for adjournment at 12:15 p.m.
