Council Meeting Minutes May 6, 2018

Pilgrim Church Council Meeting

May 6, 2018  /  11:30 – 1:00

Fireside Room

Present:  Tara Swanson, Ann Muir Corrin, Sue Crandell, Sara Hoxie, Elizabeth Betancourt, Kathleen Marie Foley, Larry Solberg, Bill Justice, Glenn Hoxie, Peggie Linville, Andrea Gibbens, and Pam Crowe

Absent:  Dan Scollon, Bob Cross, Paula Kahler, Lu Trullinger, and Barbara Cross


Tara Swanson called the meeting to order at 11:40. A quorum was established.

Ann Corrin offered the opening prayer.

Minutes of the March 18, 2018 meeting were accepted as written.



Pastor:  Ann spoke to the exciting times our church is in now.  While stress keeps us all going, this is a time to be aware and intentional. Our PPR committee has focused on us all working together. With that    in mind, Paula ordered six (6) copies of Congregational Leadership in Anxious Times so that the council    and others can read it and better understand our role as leaders.  Ann copied two pages from the book including Common Boundary Violations, for the Council to consider. Books are available to read.

Financial Team Report:  Glenn Hoxie and Bill Justice reported for the team that we are currently $7K behind in income which at this time of year is typical. Summer usually brings increased financial stress, so the congregation is urged to pay ahead on pledges to help the financial team’s ability to successfully meet summer financial obligations.  Other items: The furnace is fixed. The bathroom remodel is scheduled for this summer. Dave Scott will begin working on the bathrooms in June.

Nominating Committee: Sue Crandell reported that Larry Solberg is willing to serve as Vice- Moderator this year and Jessica French agreed to work with Kathleen as a Connecting Co-Co. Sue made a motion to accept these individuals, the motion was seconded; they were accepted by consensus. (A copy of Tyler’s resignation from Connecting Co-Co will be obtained for the record.)

The council needs an additional Member-at-Large as Larry’s acceptance of the Vice-Moderator position leaves a Member-at-Large vacancy. The nominating committee will announce this opening.  Personnel Committee needs two (2) members as Sue Asbill and Lon Henderson have resigned.

Richard French has been hired as a fire fighter and will be resigning as our custodian. The council congratulates him!! He did an outstanding job with the church and will be greatly missed.  A new custodian will be hired.

Interim Search Committee:  Kathleen Foley reported that the committee received six (6) candidate   applications. They have done first round interviews and plan to do second interviews with two of the candidates at the beginning of this next week. The council agreed by consensus to hold an emergency meeting on Wednesday, May 9 at 5:30 (unless notified otherwise) to hear about and hopefully approve the candidate presented by the committee to move the church forward in its search process.

Endowment Fund:  Bill reported that this fund has historically been invested through the church, but has been switched to a Vanguard account which will bring in three to four times more interest.


Consent Items:

Worship, Learning, Serving, Building/Finance, and Connecting all provided updates that were accepted by consensus.


Agenda Items:

Issue of paid personnel as Council members: There is no reference to this in current bylaws. Council discussed the pros and cons of paid personnel serving on the council. It was decided by consensus that Larry Solberg, as vice-moderator, will gather together a committee to bring back a policy on this topic for the council to review July 8.

Council Retreat:  The brown bag retreat day will be Saturday, May 19 from 9:00 to 3:00 at Hoxies’ home. Tara will get the day’s agenda out this coming week.

French Country Market:  Lori McNeill sent an email to the council for concept approval of a revised FCM to be held October 13 or 20. Plans are in the making.  The council gave its approval of the plan and asked Lori to bring more details to the July council meeting.
